Wedding venue cost calculator: turn any quote into one number
Add up venue fee, food for your guest count and service charge, before tax. Leave a line blank and it stays blank, so you can see exactly what to ask the venue.
Type in what your venue quoted. Leave a box blank if the quote doesn’t show it, and we’ll flag it as a question to ask.
How it works
Venues price weddings in pieces, and the pieces live on different pages. This puts them back together into one starting number, the floor: the least the venue will cost before tax and before anything you add.
- Venue fee: the room or site rental.
- Food: if your venue quotes a per-guest price and a minimum spend, you pay whichever is larger. Come in under the minimum and you usually pay the difference anyway.
- Service charge: a percentage, applied here to food and drink. Some venues charge it on more than that, so ask what it covers.
- Other required fees: anything the venue says you must pay, such as security, cleaning, music licensing, insurance or a coordinator. Add them up and enter the total.
- Tax isn't included, because the rate and what it applies to depend on where you are. Ask the venue for the total with tax.
Why compare on one number
Rental-only comparisons mislead. A low venue fee can come with a high food minimum, and a high fee can include chairs, tables and dishes you'd otherwise rent. At Hycroft Manor in Vancouver, the 2027 Saturday rental is $15,500, only 58% of its $26,900 floor once the food minimum and service charge are added.
If a venue won't give you the fee, food for your guest count and service in writing, you don't have a price yet. The blank lines in the calculator are your list of questions.
A minimum costs more per guest when your list is small
A food and beverage minimum is fixed, so each guest costs more as your list shrinks. Change the guest count in the calculator and watch the per-guest figure move. If you're planning a small wedding, a venue with a per-guest price and no minimum can come out cheaper than one with a lower fee.
What to ask the venue
- What's the total for our guest count on our date: venue fee, food, service charge and tax?
- Is there a food and beverage minimum, and does bar spending count toward it?
- What's your service charge, and is it charged on food only or on everything?
- Which fees are required: coordinator, security, insurance, cleaning, music licensing?
- Can we bring our own caterer or alcohol? If so, what fees apply?
- What time must music stop and guests leave, and what does overtime cost?
- What's the deposit, when is the balance due, and what do we lose if we cancel?
- Do these rates apply to our year?
See it with real venue prices
Pick a venue under "Real Metro Vancouver venues" in the calculator to see it filled in from that venue's own published rate sheet, checked 8 October 2026 (Hycroft’s 2027 guide on 2 October, before Hycroft took it down). Where a venue doesn't publish a line, it says "not published" instead of guessing. For the full breakdown, read what a 100-guest wedding really costs at Vancouver venues.
How we built this
The method is plain arithmetic on the numbers you enter; nothing is estimated or averaged. The example venues use figures from each venue's own website, rate sheet or wedding guide, dated, and are updated when the venue changes its rates. No venue pays to be listed on WeddingVenuer.
